Job Title: Office Receptionist/Admin

Position Type: Full-time (35 hours per week)

Reports to: Executive Director

 

Education/Experience Requirements:

  • Post-secondary diploma in social services, office administration or equivalent with work experience in community-focused agency

Position Requirements:

  • Understanding of social service systems

  • Knowledge of Woolwich Township

  • Excellent communication skills with a passion for assisting others

  • Ability to multi-task

  • Computer proficient: Knowledge of Office 2010 , website navigation, basic IT and troubleshooting skills

  • Must have reliable transportation

  • Police Record Check-vulnerable sector

  • Fully vaccinated against COVID-19 virus

Job Responsibilities:

Community Information Centre (CIC)

  • Responsible for coordination of and implementation of all aspects of the Community Information Centre including programs highlighted below

  • Complete front desk duties related to phone and walk-in inquires /requests

  • Provide appropriate support and referrals to participants

  • Ensure information provided is easily accessed, accurate and participants satisfaction is high

  • Ensure all office daily statistics are recorded

  • Accept and record all pertinent information of  incoming donations for deposit and inform appropriate program staff

  • Assist individuals in completing online documents (birth, SIN, Health Card, EI etc.)

  • Maintain a clean, safe and well stocked office by ordering and storing all office supplies; paper, cleaning products etc.

  • Responsible for office equipment maintenance and troubleshooting

  • Hallway community bulletin boards kept current and organized

Employment Services

  • Responsible for coordination  of all aspects of program: ensure job board listings are up-to date, accurate and easily accessed, computers and printers are in working order and meet participants needs,  provide faxing, photocopying and email services

  • Promote and connect participants with Career Work Coach from Conestoga Career Centre

Mobility Cupboard

  • Responsible for coordination  of all aspects of program: maintain supplies and ensure equipment for Mobility Cupboard is cleaned and safe for lending

  • Support participants in selecting, receiving and returning mobility aids and completing loan documentation

Caring Rides

  • Responsible for coordination  of all aspects of program: complete intake information for new participants and inform of program details, maintain participant and driver records, ensure payment of drivers

  • Mediate concerns for drivers and riders

Income Tax Clinic

  • Responsible for coordination  of all aspects of program: register Volunteer Income Tax Clinic with Revenue Canada, recruit and support WCS income tax volunteers with CRA registration and training , ensure income tax appointments are scheduled: taxes are complete, filed and returned to taxpayers

  • Arrange for necessary appointments for appeals or corrections

  • Promote the program with the support of the Community Engagement Coordinator

Agency Partnerships

  • Coordinate and collaborate on-site supports with Service providers to meet participants’ needs.

  • Responsible for room bookings including: maintain the booking schedule, greeting those renting space, ensure they have received everything that is needed for rental, submit invoice request to the accountant and renters. Follow-up if necessary for payment

Food Bank

  • Assist with all aspects of food assistance programs and initiatives; food bank, lunch crunch, bread program, food share, fresh food Fridays’, self-help food shelf and volunteers

  • Coordinate times for food assistance with participants and volunteers

General Responsibilities:

  • Adopt and model the mission, vision and values of  the WCS

  • Comply with all WCS policies and procedures

  • Respond daily to the WCS general email address responding to messages or forwarding on to appropriate staff.

  • Participate fully in staff meetings and agency functions, including taking minutes

  • Participate in professional development opportunities as they become available

  • Be adequately trained to apply the principles of Trauma-Sensitive Practice

  • Complete all program statistics as required

  • Create and update a “how to” job task manual

  • Train, support, schedule and celebrate program volunteers

  • Obtain and keep current certificates required for the positions

  • Support staff in meeting community requests

  • Other duties as assigned.

 

Wages are $21.63/hr, 2 weeks vacation, paid sick days, benefits after 3 months and RRSP matching plan after 1 year. Hours are Monday – Friday 9-5pm.

Job Title: Child & Youth Coordinator

Position Type:  Part-time (15 hours wkly, every other daytime Saturday and flexible two evenings)

Reports to: Community Engagement Coordinator

Education/Experience Requirements: 

  • Post-secondary diploma or degree related to Recreation and Children and Youth with a minimum of 1 year experience working in a youth setting.

Position Requirements:

  • Experience in supporting children, youth and families

  • Excellent verbal and written communication

  • Familiar with de-escalating techniques

  • Proficient in the use of computers (PC & Mac) and applications (Word, Excel, Apple apps, etc)

  • Ability to work with Social Media (video editing/recording for FB, Instagram, YouTube, etc)

  • Be flexible, highly organized and a self-starter

  • Be a problem solver and able to work independently with minimal direction

  • Experience coordinating and implementing  successful special events

  • Have knowledge of community resources an asset

  • Access to reliable transportation

  • Ability to have a flexible work schedule to accommodate special events

  • Police Record Check – vulnerable sector

  • Fully vaccinated against Covid-19 virus

Job Responsibilities:

  • Provide participant initiated opportunities for social, educational and recreational programs for children, youth and their families at the Community Hub and community spaces.

  • To provide a safe and positive environment that the children and youth can contribute to and grow from

  • To review the programs and provide input into the evaluation of the programs using data collected

  • To promote the Community Hub throughout the community including school contacts, posters, media etc.

  • To stay informed in current children/youth issues and events

  • Participate in and/or implement training and events to best support children/youth

  • To maintain a clean and organized environment, and to ensure all equipment/electronics are in working order

  • To work cooperatively with other facility user groups to allow for all program needs to be met

  • To communicate effectively with the Community Engagement Coordinator at WCS with any new or changed information, and/or gaps in services

General Responsibilities:

  • To be an active member of the Woolwich Community Services team

  • Comply with the mission, vision and values of  the WCS

  • Comply with all WCS policies and procedures

  • Participate fully in staff meetings and agency functions

  • Be adequately trained and apply the principals of Trauma-sensitive practice

  • To be an active participant in fundraising efforts for WCS

  • Participate in professional development opportunities as they become available

  • Complete all program statistics and reports as required

  • Create and update a “how to” job task manual

  • Train, support, schedule and celebrate program volunteers

  • Obtain and keep current all certification requirements for position           

  • Support staff in meeting community requests

  • Other duties as assigned.

 

Wages are $18.39/hour with 4% in lieu of vacation pay
